The Ottawa International Airport Authority is accepting applications for a Human Resources (HR) Student position.

Reporting to the Director Human Resources, the HR Student provides operational support to Recruitment, Employee Relations, Training and Development, HR Administration and Regulatory Compliance.

ESSENTIAL FUNCTIONS :

HR Administration:

  • Assist with general HR administrative tasks, such as filing, scanning of documents, electronic filing, data entry, and maintaining HR databases.
  • Provide support to HR representatives in drafting employment contracts, templates and diverse correspondence.
  • Prepare reports and presentations related to HR metrics and activities.
  • Help to ensure that HR intranet is regularly updated with relevant policies, forms, and HR-related information for easy access and compliance.
  • Support the coordination of employee engagement events and programs.

Recruitment Support:

  • Review job descriptions within the Authority to ensure they meet pay equity requirements.
  • Assist in the recruitment process by posting job openings, reviewing resumes, and coordinating interviews.
  • Participate in job fairs and campus recruitment events to attract potential candidates.
  • Support the onboarding process for new hires, including preparing orientation materials.

Employee Relations:

  • Assist in maintaining employee records and ensuring compliance with HR policies and procedures.
  • Contribute to the development and implementation of employee engagement initiatives.
  • Address basic employee inquiries and escalate issues to HR teams as required.

Training and Development:

  • Support the tracking of employee training and development activities.

Regulatory Compliance:

  • Assist in updating and maintaining HR policies and procedures.
  • Support compliance efforts related to employee documentation and record-keeping.

The successful candidate must :

  • Ability to work collaboratively in a team environment; be flexible, open to change; and possess sound problem-solving.
  • Be self-motivated, detail-oriented, organized, and possess strong time management/multi-task skills to competing priorities and frequently changing issues with internal/external pressures or set deadlines.
  • Maintain confidentiality and discretion at all times when handling sensitive and/or confidential matter.

ESSENTIAL QUALIFICATIONS :

  • Must be enrolled as a full-time post-secondary student in an accredited institution
  • Must be returning to full-time studies for the next academic term
  • In pursuit of a university degree or college diploma with major coursework in human resources administration, business administration or a similar field with related experience.
  • Strong interest in Human Resources.
  • Excellent interpersonal and communication skills, including ability and willingness to ask probing questions.
  • Ability to work in a professional and confidential environment
  • Strong attention to detail.
  • General understanding of HR principles and practices.
  • Basic knowledge of HR laws and regulations.
  • Proficient in Microsoft Office suite (Outlook, Word, Excel, Teams).
  • Ability to work independently and collaboratively in a team environment.
  • Self motivated, analytical thinker with strong problem solving and organizational skills.
  • Eagerness to learn and contribute to the HR function.
  • Bilingualism (English / French)

ASSETS :

  • Experience as a staff assistant or similar junior HR role.

Job requirements

  • Successfully obtain:
    • A security clearance check for an Airport Restricted Area Identity Card (RAIC);
